How to Resolve Printer Showing Offline in Windows

Issue Description 

A printer may appear “Offline” even when powered on and connected. 

Common Causes 

  • Wrong default printer 
  • Stuck print queue 
  • Network or port mismatch 

Step-by-Step Solution 

Step 1: Set Printer as Default 

  • Open Settings → Bluetooth & devices → Printers & scanners 
  • Select your printer 
  • Click Set as default 

 

Step 2: Clear Print Queue 

  • Select printer → Open print queue 
  • Cancel all pending jobs 
  • Restart printer 

 

Step 3: Check Printer Port 

  • In Printers & scanners, select printer 
  • Click Printer properties → Ports 
  • Ensure correct port is selected (USB/IP) 

 

Step 4: Restart Print Spooler 

  • Press Windows + R → services.msc 
  • Restart Print Spooler
